Regardless of the type of photography you shoot, every session should start with a contract. And now, with today's announcement, digital contract management is now available through Instaproofs!

To make managing and sending your contracts as convenient as possible, we've created a simple templating system that allows you to create your contracts once, and re-use them as many times as you'd like.

A key component of our contract system is the ability for you to use placeholder values (or "variables") anywhere within your templates where the values might change from client to client. This includes items such as your client's name, the date and time of the event, the number of photos to be delivered, any à la carte print items being purchased, the price of the package, etc.

Every contract automatically requires at least two signatures: yours, and your primary client's. If your contract requires a second client's signature, that can be added as well.

Once a contract is ready to be signed, your clients will be notified and provided a link to view it via email. Clicking the link within the notification email will bring up the prepared contract document, and your clients will be prompted for their signatures.

As a contract is created, finalized, sent, and signed, it will move through a variety of color-coded statuses:

  • Draft - A ‘draft’ status is given to any contract that hasn't been finalized.
  • Waiting - A ‘waiting’ status is given to a contract while it's waiting for your client's signature.
  • Sign Me - A contract with a ‘sign me’ status is a contract that's already been signed by your client and is just waiting on your own signature (a signature from the photographer).
  • Signed - Once all of the signatures have been collected, the contract is given a ‘signed’ status.
Signed contracts, including the signatures, can be viewed at any time by clicking on the name of the contract within your contract list.

Coming Soon

In addition to the functionality that's already been made available through our contracts area, we'll soon be adding the following items as well:

  • Invoice Linking - Once a contract has been signed, the next logical step is to send your clients an invoice for the contracted amount. Manual invoicing is currently available through our Invoicing area, but we're working on making this process a little smoother for you by allowing an invoice to be linked to a contract and automatically sent when the contract is signed.
  • Contract Marketplace - Creating your own contracts from scratch can be tricky (and risky)! We're working with legal professionals to create a set of templates that you'll soon be able to purchase from our upcoming contract marketplace.
